You can use email templates to create automated touch-points between the platform and your customers.  The platform sends email messages for various events (approvals, customer sign ups, etc.). This article provides information on how to...

SES sends email messages for various events (approval requests, customer sign ups, and so on). As an Tech Data SES partner, 

you can customize these email messages. The customization options include content, "from" addresses, and other fields.

You can use email templates to create automated touch-points between the platform and your customers.

Configure email templates

Each email template is pre-populated with content that you can edit. You can change the text and add parameters to the subject or body. That way you can make the email messages look like they're coming from you and not from Tech Data. 

Note: If you choose to edit a template, please keep in mind the templates are meant to be generic and support all cloud vendors.  Customizing a message to call out a specific vendor could be confusing if the comments do not apply to that vendor.

Note: If you do not create a 'CNAME' record on your domain to support the default email settings the email default is ''. See "Configure Email Template Default" below for details.

To view the email templates, click on Settings  > Email Template

In the top portion of the screen, you see a list of the platform email templates.  Use the scroll-bar to view more or use the [search] field to sort the templates by the "tag" options. 

In the bottom portion of the screen, you set the default email contact that applies across all the templates.  Alternatively, you are able to edit individual email templates to update From Email, From Name, Reply-To Email and Reply-To Name.

By default, all email templates are enabled.  To disable an email template, select a template from the list, 

click [Edit] and slide toggle to turn off the setting. Click [Save].

(Optional) BCC

The BCC field is powerful when you're getting started in cloud commerce. You can use it to attach an email distribution list 

(or an individual) to any predefined workflow within the platform. For example, when a customer signs up or when a new product is purchased through the marketplace you want your sales team notified, not just your default operations staff. This is especially useful if you don't have automated purchase tools set up yet.

Configure Email Template Defaults

You can configure one primary email domain.  

For SES to send emails from your domain, you need to verify the domain (of the sender). The following sections provide step-by-step instructions to set up custom domain for use with email templates.

Define your branding by entering the following:

  • From Email
  • From Contact Name
  • Reply To Email
  • Reply To Contact Name

Click [Save]

Generate a verification token & Verify the domain

The platform uses SendGrid as the email service to authenticate all custom domains settings.

In the "Edit template defaults" form, click Verify. A pop-up screen contains steps to follow to update your DNS record.

After completing the steps, wait 10 minutes, and then click Verify.

After updating the DNS records, wait for 10 minutes, come back to SES, and click Verify in the email template form. If the 

DNS records are correct, a green tick mark appears, saying your domain is verified . After this, any sent email is properly authenticated.

If the verification fails with the error: "domain cannot be verified," keep in mind that DNS updates take time to propagate. Make sure to wait at least 10 minutes before clicking Verify.

You can check the TXT record by running the following command (in Mac/Linux):

dig -t txt +short

You should see something like this:



Email Setup Conditions

Note: below are some known "gotchas" regarding which information will show up on outgoing emails from platform

  • Email template "From" and "Reply to Email" entries will override all other email entry settings in the platform.
  • Emails are set when "enabled" only.
  • If there are no entries in an email template(s), and the enabled box is checked, then the platform's default email identity information will be on the outgoing email
